Archive Workspace#

Over time, there will be a growing number of workspaces in the Allegra database. You can permanently delete workspaces, but it is usually better to change the visibility of no longer current workspaces via the workspace status.
Each workspace is in a state. The state determines how visible the workspace is.
By default, Allegra offers the three workspace states described in the following table.

ongoing |
These workspaces are open for all functionality that the system offers. Items can be created and changed without restrictions. |
stopped |
No new items are accepted for these workspaces and existing items cannot be changed. However, all existing information is visible, as are the workspaces themselves. |
archived |
These workspaces and their items are invisible to regular users. No new items are accepted and existing items cannot be changed. |
Starting from the main menu, select Administration
> System States
> Workspace State
.
You can change the names and meanings of these states and add new states.
Each state has a “type flag” that determines the availability of a workspace. The values and logic for each type flag are described in the following table.

active |
Workspaces with this state type flag are not restricted in any way. Items can be created and changed. |
locked |
No new items can be created and existing ones cannot be changed in workspaces with this state type flag. However, all existing information is visible, as are the workspaces themselves. |
completed |
Workspaces with this state type flag are invisible to regular users. They do not accept new items and do not allow changes to existing items. |
Warning
Changing the workspace state can make the workspace inaccessible to regular users.
