Task management#

At the heart of business operations lies the definition, assignment and completion of tasks by in-house or external staff. Effective business task management takes into account the collaborative and abstract nature of many activities, without which larger undertakings cannot be realized.

Sound collaborative task management forms the basis for supporting the more advanced processes that arise in project management and service management. We therefore refer to the individual work elements as items. In a project context, we deal with both plannable and non-plannable items. In daily work or in a service context, we mainly handle non-plannable items.

Although we have chosen “task management” as the heading, the underlying understanding is that it is about managing all kinds of items, not just the tasks defined here as plannable.

Allegra lets you

  • create, edit and delete items of various types

  • assign tasks

  • delegate tasks

  • be reminded of due or overdue tasks

  • attach documents to tasks

  • organize tasks in hierarchical structures

The item overview offers a range of views that are helpful for task management:

  • Flat list

    The “Flat list” view lets you group and sort items by almost any item attribute. You can also set the view mode to “paging”, so that even large sets of items remain manageable.

  • Tree view

    The tree view shows the item hierarchy and lets you display long text fields such as the item description and comments.

  • Hierarchical view

    The hierarchical view is similar to the tree view, but it lets you define the order of items at each structural level. It does not support grouping and does not display long text fields.

  • Board

    With the board or agile board, you display your items on small cards that you can assign to other staff members by dragging them, or whose state you can change by dragging them.
