Archiving a workspace#

Over time, many workspaces accumulate in the Allegra database. You can delete workspaces permanently — but it is usually more sensible to change the visibility of workspaces that are no longer current via the workspace state.
Every workspace is in a state that determines its visibility.
Allegra ships with three predefined workspace states:

These workspaces are open to the full functionality. You create and modify items without restriction. |
stopped |
These workspaces accept no new items and allow no changes to existing ones. All existing information — and the workspace itself — remains visible. |
archived |
These workspaces and their items are invisible to regular users. They accept no new items and allow no changes to existing ones. |
To change the name and meaning of these states or to add new states, go
to Administration > Workspaces > Workspace states.
Every state carries a “type flag” that determines the availability of a workspace:

Workspaces of type “active” are not restricted in any way. You create and modify items freely. |
locked |
Workspaces of type “locked” accept no new items and allow no changes to existing ones. All existing information — and the workspace itself — remains visible. |
closed |
Workspaces of type “closed” are invisible to regular users. They accept no new items and allow no changes. |
Warning
Changing the workspace state can make the workspace inaccessible to regular users.
